ADDING A TEXT
Upload a scan to Wikimedia Commons.
The text must no longer be under copyright in the United States and in the country of origin to be allowed on Wikimedia Commons.
If it is in the public domain in the United States, but not in the country of origin, you should upload the file to Wikisource instead.
You can also use the URL2Commons or the IA-Upload tool which automatically uploads files to Commons. The latter tool is especially recommended for uploading from the Internet Archive.
Then:
- Create an index page for the scan on Wikisource.
- Proofread each page.
- Someone else must validate each page.
- Transclude the work to the main namespace.
- Apply the normal finishing touches to the work in the main namespace.
Uploading with the IA Upload tool

Log in to Wikimedia Commons first. Find a high quality copyright-free text on the Internet Archive and copy the end of the url. The ID is the part of the URL after ‘details/’, for example: https://archive.org/details/cu31924022189587
- Use the end of url to input into IA Upload tool.
- Add a title for the file being uploaded to Wiki Commons
- Select the dropdown to say Use existing djvu.
- Click upload.
- Once uploaded. Click on the new link to go to the new file on Commons.
- Go to the Summary section of the uploaded djvu file.
- Click on the Wikisource logo in the Summary section.
- Click add Index:A daughter of the rich, by M. E. Waller.djvu to Wikisource. (depending on the title of the text).
- Check the information is copied across correctly to populate the fields on the Wikisource Index page being created.
- Put in an edit summary of Created Index page
- Click Publish page.
Your text is now uploaded to Wiki Commons and imported to Wikisource!
Now click Edit Source to create a pagelist for your text. This consists of going through the text page by page to describe those pages that are not the main text of the book e.g. illustrations, title pages, content pages etc.
Pagelist terms you need to know.
- C= Cover page
- ToC=Table of Contents
- Roman = roman numerals
- “—” = no text to be proofread
- IMG = illustration.
- “Half-title”
- Fly=Flyleaf (blank or Title & author only)
- Title=Title page
- Frontispiece = an illustration facing the title page of a book.
- Preface = an introduction to a book, typically stating its subject, scope, or aims.
- Illustrations = List of Illustrations page
- Memoriam = memoriam dedication.
- Adv=adverts
Using a Djvu viewer will help you to scroll easily through the pages of the original source file so you can marry up which page number is the Title page and so on.

Click to access the Source page which will take you through to the Index pages for the texts above. By then clicking Edit Source you can see how the pagelist works.
Importing from a pdf
The Internet Archive has pdfs you can download. Check for scan quality and copyright status.
- Upload your pdf to Wikimedia Commons.
- When prompted, add the url of the source (i.e. the web address where you got the pdf from).
- The author of the text you should also be wiki-linked by adding [[…]] either side of their name e.g. [[Robert Louis Stevenson]].
- Set the licence as First published before 1923 and author deceased more than 70 years ago.
- Add title, description, date and category to the file on Commons using the information available from the source e.g. Internet Archive. Click Save.
- Go to Wikisource. Type Index:YourTitle.pdf into the search bar. Change YourTitle to the title of the file on Commons e.g. Index:Memoir of Fleeming Jenkin. Records of a family of engineers.pdf
- Add publisher, title, location, year of publication, scan type, cover page number etc etc. to the Index page as appropriate for the information you have.
- As above, the Index page will need to have the pagelist amended so that it marries up correctly. You can use <pagelist 1=1 />
if the pages are exactly the same e.g. on page 1 of the scan and page 1 of the Wikisource Index page all the way through. - Change the Index page to say “To be proofread”.
- Add edit summary of ‘Created Index page‘ and click Save.
If the author has an Author page on Wikisource then you can go there and add a new line with the title of your new transcription project (the title of the book) with a link to the Index page using the code as follows: {{small scan link| Memoir of Fleeming Jenkin.
